Booking & Payment

To secure your place on a Waypoint departure, a non-refundable deposit of 25% of the total tour price is required at the time of booking. Your booking is confirmed once you have received written confirmation from Waypoint and payment has been received.

The remaining balance is due 60 days before the departure date. If the balance is not received by this date, Waypoint reserves the right to cancel the booking and retain the deposit.

We accept payment by debit and credit card (Visa and Mastercard). No service fee applies. All prices are listed in Icelandic Krona (ISK) unless otherwise stated. Any currency conversion fees, international transaction charges, or bank charges applied by your card provider are the responsibility of the participant.

Cancellation by the participant

All cancellations must be submitted in writing to hello@waypoint.is. The cancellation date is the date on which written notice is received by Waypoint.

The deposit of 25% is non-refundable in all circumstances.

• Cancel 60 or more days before departure: deposit forfeited, balance refunded in full.
• Cancel 30–59 days before departure: 50% of the total tour price forfeited, remainder refunded.
• Cancel 21–29 days before departure: 75% of the total tour price forfeited, remainder refunded.
• Cancel fewer than 21 days before departure: no refund issued.
• No-show: no refund issued.

Cancellation by Waypoint

Waypoint reserves the right to cancel a scheduled departure if the minimum number of participants is not reached. In this event, participants will receive a full refund of all payments made to Waypoint. This does not cover third-party costs such as flights, visas, or travel insurance.

Waypoint also reserves the right to cancel or curtail a trip due to weather, safety conditions, or circumstances beyond our control. In such cases, we will make every reasonable effort to offer an alternative date or arrangement. Refunds for force majeure cancellations are handled on a case-by-case basis.

Itinerary changes

The itineraries and services described on our website are provided as a guide. Waypoint reserves the right to adjust routes, accommodation, timing, or included activities where necessary for reasons of safety, weather, or operational conditions. Participants will be informed of material changes as soon as reasonably possible. No refund is provided for changes that do not reduce the overall value of the experience.

Health, Fitness & Safety

Participants are responsible for ensuring they are in adequate physical condition for the activities they have booked. Trip descriptions include difficulty ratings and fitness guidance — please read these carefully before booking.

Waypoint reserves the right to exclude a participant from an activity or a trip if, in the guide’s judgement, their participation poses a risk to themselves or others. In such cases, no refund is issued.

Our guides are licensed and trained for the terrain we operate in. Their decisions on safety, route, and conditions are final.

Liability

Participation in Waypoint trips, hikes, and glacier excursions involves inherent risks including but not limited to difficult terrain, extreme weather, and rapidly changing mountain conditions. Participants join all activities at their own risk.

Waypoint and its guides shall not be liable for any injury, illness, loss, damage, or death arising from participation in our activities, except where caused by the proven negligence of Waypoint or its staff.

Participants are strongly advised to hold comprehensive travel insurance covering adventure activities, medical expenses, evacuation, and cancellation.

Prices & VAT

All prices include Icelandic VAT where applicable. Waypoint reserves the right to adjust published prices in response to significant currency fluctuation, changes in government taxes, or increases in supplier costs beyond our control.

Governing Law

These terms are governed by Icelandic law. Any disputes shall be subject to the jurisdiction of Icelandic courts.

Why these terms exist

Our trips involve advance commitments to mountain huts, guides, transport, and equipment that cannot be recovered at short notice. The cancellation tiers above reflect the actual costs we incur as your departure date approaches — they are not punitive, they are the reality of operating in Iceland’s highlands. We strongly recommend that all participants hold comprehensive travel insurance that includes cancellation cover.
